The Caregiver Mobile App 'Offline Mode' is an optional feature that allows caregivers with no cellular service or mobile data to clock in and out for their shifts. These EVV events are captured with GPS (which does not require internet connectivity) and hold the event details until the caregiver has internet service again. The 'Offline Mode' events upload to the agency database once the caregiver logs into the app in 'Online Mode'
'Offline Mode' is especially helpful for agencies with clients in rural areas where internet service may be unavailable or inconsistent.
Note: No shows will still be triggered for shifts where caregivers use 'Offline Mode.' Once the 'Offline Mode' events successfully upload to the agency 'Shift Covered' notifications will be sent as long as the offline events were made within the On-Time window and Distance from Client threshold.
Overview
How to get 'Offline Mode'
- 'Offline Mode' can be enabled for any agency by Rosemark Customer Care. Please email support@shoshana.com to request this feature!
- 'Offline Mode' is enabled overall for each agency, which means any caregiver using the Mobile app would have access to 'Offline Mode' once it is turned on.
- Once 'Offline Mode' is enabled you will need two key pieces of data for caregivers to be able to clock in and out:

- 1. Caregiver Numbers
- 2. Client Numbers

- Both client and caregiver numbers can be found on Communications tab on individual profiles within Rosemark. These numbers are completely configurable by the agency and must contain only numbers - no dots, dashes or letters.
- Caregivers will need to know their own caregiver number and the client number for any client they work with.
- Additionally, if you need caregivers to record tasks on clock out they will need to have a list of tasks that should be performed for each client.
- Tasks in 'Offline Mode' pull from your agency task master list and are not individual to the client needs like they are in normal mobile app usage.
Reporting
'Offline Mode' EVV events will behave exactly like 'Online Mode' EVV events once uploaded successfully. They will populate in the Tasks report, Assignment Timesheet and EVV event list window.
In addition, the agency will see a Pending Action created for each caregiver's events that have uploaded successfully. These actions will list the scheduled shifts, client and service type detail so that agency staff can easily find and link the EVV events if needed. Linking may still be necessary if caregivers clocked in or out outside the on-time threshold for the shift.
Caregiver Instructions
1. Sign into the Mobile App as you normally would. You'll need to sign into 'Online Mode' at least once before using 'Offline mode.' Sign out of 'Online Mode' and you will see a new button appear at the bottom of the sign in page called 'Offline Mode for (agency number)'. Tap the button to enter 'Offline Mode'.
2. Enter your caregiver number and click the 'Offline Mode' button again to confirm.
If you enter the wrong caregiver number you will see the message in orange below. Make sure you have the right caregiver number entered, you may want to call your agency to confirm.
3. Once you successfully log into 'Offline Mode' you will see this screen:
To clock in, click the 'Add Clock-In' button. From here you will need to enter the ID number for the client you are working with. If you enter the wrong client number you will see the message in orange below. Make sure you have the right client number entered, you may want to call your agency to confirm.
Once you enter a valid client number the app will use the GPS on your phone to record your location. If you do not have location tracking enabled you will see the message below:
You MUST have location tracking enabled for the Caregiver Mobile App in order to use 'Offline Mode.'
Click the 'Clock-In' button to complete the 'Offline Mode' clock in. You will see the following message if done correctly:
To clock out at the end of your shift, click the 'Add Clock-Out' button. Enter the client ID and if your agency wants you to record tasks you will see an 'Add Tasks' button. Click 'Add Tasks' to record what tasks you did for the client.
You can use the search field at the top to quickly find a specific task and record whether it was done, not done or refused by the client.
When you've finished recording all your tasks, click the 'Complete Clock Out' button.
You can tell tasks and your clock out have been recording as they will appear on the 'Offline Mode' screen at the bottom under the 'Events' header, as seen below.
IMPORTANT: Be sure to Sign into the normal 'Online Mode' when you have internet access again to upload your 'Offline Mode' events to your agency.
To verify all 'Offline Mode' events were successfully uploaded to your agency, go to your Messages tab and view Announcements.
